Free official records vs paid look-alike sites

Official offices let you search most record indexes free and charge a set fee for copies. Look-alike sites charge more, sometimes much more, for reports that are not certified copies. Here is how to tell the difference, with the warnings official offices publish.

What official offices charge

County and state offices that hold records publish their fees, and most are set by state law. Many offices let you search their index free of charge, in person or online. Copies cost a set amount per page, and a certified copy adds a certification fee. The Clark County Recorder in Nevada, for example, says it "charges only $1.00 per page and $4.00 to certify a document"152.

Some offices also run or link an online service with its own fees, such as a subscription for remote access to images or an authorized vendor for ordering birth certificates online. These are official when the office itself links to them from its own website, and each county page on this site names them.

What official offices warn about

The Clark County Recorder tells residents that its employees "DO NOT make any type of solicitation to purchase certified copies" and warns of "companies that are NOT affiliated with the Clark County Recorder's Office or any state or governmental agency", which "may charge significantly more for copies of documents"152. Signs that a site is not the official source

  • It is not on the office's own website. Most county and state offices use a .gov address, and every county page here links to the office's site. A vendor portal is official only when the office links to it.
  • It asks for a subscription or monthly payments. On November 4, 2026 we saw a property-report site ask for $36.00 up front and then $35.00 every 30 days for 23 more payments, $841.00 in all, while saying it provided "research copies only".
  • Its "search" buttons lead to a people-search or background-check company. One record directory we reviewed the same day sent every record link to a background-check firm's tracking link, and another placed a people-search box above its content.
  • It offers a "certified" deed or birth certificate without being the office that holds it. Only the recording office or the vital records office can certify its own records.
  • A letter offers to send you a copy of your deed for a fee. Clark County calls these solicitations out by name152; the county's own copy fee is a few dollars.

How to get the record from the official source

Use the finder or the state guides to find the office, then search its index or order from it directly by mail, in person or through the online service it links. For a property, start with the recording office and the assessor; for a court case, the clerk of the court that heard it; for a birth or death certificate, the state vital records office or the county office it lists.
